EatLoco Vendors
Welcome to the 2024 REGULAR Season at Ashbrook

Game-Day Rules at Ashbrook

Saturday, March 31, 2024, markets the start of our 7th year in Loudoun County.  As you probaby already know, we have moved our One Loudoun Market PERMANENTLY to the Christian Fellowship Church parking lot at 44505 Atwater Drive  (about 200 yards away from our One Loudoun location). The parking lot is flat and extremely large. Large enough to hold our vendors, our customers, and a few other goodies we have up our sleeve. We are in no way associated with the church itself.  We simply use their parking lot.  We will now be known as the EatLoco Farmers Market at Ashbrook.

  1. DIRECTIONS To get to our new EatLoco Farmers Market Location at Ashbrook, click the link above. Vendors must enter from the Atwater Drive entrance ONLY.  Do not enter from the back of the parking lot entrance. To ensure a steady flow of vendors and manage traffic effectively, we are enforcing a single entrance for vendors. By allowing vendors to enter only through the Atwater entrance helps us streamline the process and prevent congestion. You’ll see signs on Atwater Drive for our Vendors Entrance.

  2. MARKET MANAGERS - Our Market Managers will be easily identifiable in bright yellow jackets. If you need assistance, especially during setup, don't hesitate to ask them. Please refrain from setting up in random spots, as you will be asked to move.

  3. ARRIVAL TIME - Please ensure you arrive no later than 8:15 AM for the market.  During the market, refrain from requesting to switch spaces. If you encounter any issues, please email us directly after the market, and we'll do our best to accommodate your needs.

  4. DON'T BE LATE - It's important you give yourself plenty of time in the morning so you'll be set-up and ready to sell no later than 8:45AM. (We suggest 7:30AM). All vehicles must be OUT of the market space by 8:45AM. NEVER under any circumstances should a customer or vendor move any of the orange cones or road-blocks blocking off the market road so they can bring their vehicle into the market.  If the road cones are not in place at 8:45AM for whatever reason, vendors are still not allowed to bring their vehicle into the market after 8:45AM.  Vendors showing up after 8:45AM will have to park their vehicle in the remote parking lot, and hand carry everything over to their spot for setup. No exceptions.  Moving the cones will get you suspended from our market(s).

  5. ALL TRAILERS - Please must arrive at the market no later than 7:00 AM so we can better fit you into your space before others in your row arrive.

  6. WHERE TO SETUP - Each ROW at the Ashbrook market is identified with a row-marker (Rows 0-16). We will be assigning vendors a ROW NUMBER ONLY.  Season vendors will have the same row number each week. Please never assume you will be in the same row each week (unless you're a season vendor). Always check the online layout prior to entering the market.  When you drive into your assigned row, set up at the "next available spot" in that row at the FAR END, tight-up against the previous vendor tent before you. If you're the 1st one to arrive at the market in that row, you will be at the beginning of your row.  We have made sure there are not 2 vendors selling the same thing in the same row, so it wont matter what spot you end up in at your row.

  7. PULLING INTO YOUR SPACE - When you pull into your row, pull into the parking space slightly so other vehicles can get past you. Unload your things quickly and then move your vehicle out of the market (into the vendor parking lot (see map at bottom), and then return to set up your tent.  Do not set up your tent and tables until your vehicle is out of the market.

  8. VENDOR PARKING- Do NOT park on Atwater Drive, you will be towed by One Loudoun.  And please DO NOT park anywhere in the church parking lot (we are reserving these for your customers).  We have a designated parking lot (Park & Ride) reserved for our Vendors (SEE MAP at bottom of this page). While it does take a minute to drive to (after you have dropped off your things), it is only a 30 second walk from the Park & Ride back to the church lot to setup.

  9. POSITIONING YOUR TENT - When you set up your tent, position the front legs of your tent so they align with the front lines of the parking spaces.  Setting up this way gives you a 3 x10 space behind you to put your storage, products or whatever else you need while at the market. We will help you with this. (Note, the parking spaces are only 9 feet wide and your tents are 10 feet. Something to keep in mind.)

  10. OUR FARMERS  - Farmers (and a few other select vendors) will all be setup in ROW 16 (alongside the tree line). They will instructed which space to setup in by one of our Market Managers each week. (we want to make sure we don't put same-product vendors next to each other). Pull your truck parallel and tight to the edge of the parking lot (preferably facing SOUTH for easy exit) and setup your tents to the SIDE of your truck (do not set up to the front or back of your truck). All tents should be parallel with each other and with ALL the other tents in Row 16.

  11. TENT WEIGHTS - Tent weights are mandatory at all EatLoco Farmers Markets regardless of the season or the weather. 50LB weights on each leg are ideal, by at least 25 pounds per leg are required at all times. Dumbbell weights are not allowed. Inexpensive nylon bags filled with sand and can be velcro'ed to each tent leg is a great option. This market gets very windy and we have seen customers (children too) get hit by flying tents more than once. Vendors that do not comply with our tent weight policy, may be asked by our Market Managers to take down their tent immediately.

  12. HOT FOOD VENDORS

TEMP FOOD PERMTS - Hot food vendors MUST post your temp food permit at eye level on your left tent post for the Health Dept. Inspector to see. Reminder - If you arrive at the market without a "hardcopy" of your Loudoun County Temp food permit, you will be asked to leave.

PROTECTIVE MATS - Hot Food Vendors MUST have a 10x10 mat under your entire tent.  We don't want anything to drip or stain the church parking lot

FIRE EXTINGUISHER - HOT Food Vendors must in in plain site at all times (not in your car, packed away in a box, etc). Must be visable for the Fire Marshal to see.

GENERATORS - Any vendor that requires a generator, must have either a "quiet" generator or something that muffles the sound of your generator (many inexpensive options on Amazon).

  13. SAMPLES AT THE MARKET - Samples are allowed back at the market again. However, we suggest keeping samples covered at all times. In addition, samples can only be handed out within a few feet from the front of your tent.  Walking around the market or anywhere not within 3-4 feet from your tent, is not allowed.  Please respect your fellow vendors by staying in you own area during market hours.

  14. SMOKING AT THE MARKET - Smoking at the market is strictly prohibited. If a vendor must spoke, they must do so no less than 50 yards from behind their tent, not more than 5 minutes, and no more than twice per market. It is preferred they find someone to watch their tent and their products while they are away.

  15. WE ARE GUESTS - As with all our venues, we are their guests. Please take extra time at the end of the market to pick up every scrap of paper or food in and around your assigned space. It only takes a minute.  The community trash receptacles are for CUSTOMERS ONLY. Vendors must bring their own trash with them back home to dispose of it there. This goes for water and ice as well. They are NOT to be dumped on the ground, in the sewer, or on the grass. Please bring buckets with lids to transport liquids back home with you.

  16. OTHER CHURCH EVENTS - There will be rare occurances that the church will have an event going on in the West parking lot (furthest away from the market itself). It may interfere with our customer parking, but never with the market itself.  We will work with the church each time so that our customers and theirs can coexist in the same space.

  17. TIME TO GO - Vendors cannot begin to put away their items or knock-down the tables or tent until 1:00PM.  Even if you sell out, you must remain until the end of the market completely setup.  At 1PM, you must knock everything down BEFORE going to get your vehicle, including your tent. Once everything is in a neat pile, you can walk over to the Park-and-ride parking lot, grab your vehicle and drive it back into the church parking lot to pickup your things.
